According to a blog on HubSpot.com, workflow automation is the process of using rule-based logic to launch a series of tasks that run on their own without any human intervention. What’s an example of an automated workflow?

Every accounting firm has certain products or services they offer their customers. For this example, we will use filing individual taxes for a customer. Usually, there is a roadmap from the beginning to the end of this transaction. We would call this the sales process. Inside the sales process, there are a series of steps that are followed and before we can move the process forward, a series of tasks or events need to happen. Here are some of the steps that go into performing the job of an individual tax job:

  1. The firm sends the potential customer an intake form. Take the potential customer’s information
  2. The accountant or tax preparer assesses the needs of the potential customer
  3. The firm provides a proposal
  4. The customer now accepts the proposal and signs an engagement letter
  5. An email with a checklist of documents gets sent to the customer to submit to the firm
  6. Documents are sent
  7. Tax preparer or assistant confirms al the documentation needed and prepares the return
  8. A draft of the tax return is sent to the customer for approval or signature
  9. Payment is collected (this can happen before or after, depends on the firm’s policies)
  10. Paper file or e-file is then determined
  11. The job is complete

NOTE: All these steps are a simplified version of a workflow, these steps may vary based on other conditions that occur
